Requisitions and headcount

Requisitions and headcount

Start every search with alignment.

Bring hiring managers, HR and finance together before a role goes live. Elevator by Superset keeps the opening, budget and approval chain in one place, giving your team a clear brief to hire against.

Gate 1 of 3

Headcount approval

Elevator by Superset runs a hire through seven stages and three gates. The first gate is headcount approval: finance or the HR business partner signs off the requisition, and until they do, no posting goes live and no candidate can enter the pipeline. The next stage cannot start until the previous one is signed off, and the platform enforces it rather than reminding someone to.

The other two gates, the committee decision before an offer and the compensation band approval before signature, are described on the interviews and offers pages.

Openings

A clear view of every opening.

Track each seat within a requisition as open, filled or cancelled. Job postings stay connected to the approved opening, so recruiters and finance can see how hiring progress relates to the headcount plan.

What’s included
  • Opening states: open, filled, cancelled; requisition states: draft, approved, open, closed
  • Reason of new or backfill, and an evergreen flag for roles that are always open
  • Seniority model of junior, mid, senior and leadership, which picks the pipeline template
How pipelines are adopted

Gate 1 · Approval chain

Put approvals on a clear path.

Define the approver and response time at each level. Comments, timestamps and status stay with the requisition, making it easy to see what is waiting and who needs to act before the role can be published.

What’s included
  • Levels such as hiring manager, finance partner, HR business partner and CHRO, in the order your policy sets
  • States of approved, pending, rejected and not started, each with a timestamp and a comment
  • Every approval and rejection lands in the append-only audit log with the approver’s name

Fields and wizard

Give approvers the context they need.

Capture the cost centre, legal entity, compensation band, location and target hire date at the start. A guided creation flow helps managers provide a complete brief for HR and finance to review.

What’s included
  • Budgeted CTC and grade band set the compensation band every later offer is checked against
  • Cost centre and legal entity map to the HRIS, so the hire lands in the right place on handoff
  • Target hire date feeds requisition ageing on the dashboards
How offers use the band

My approvals

Bring decisions into one inbox.

Review requisition and offer approvals together in My Approvals. Finance partners and hiring managers can work through their queue with the relevant context, and each decision is recorded with its owner and time.

What’s included
  • Requisitions and offers in one queue, each with its SLA clock
  • Visible to the recruiter, hiring manager and finance at the same time
  • Rules can request approval automatically, for example when an offer expectation is above band
How offer approvals work

HRIS-owned requisitions

Build on your existing headcount plan.

When requisitions originate in Workday, Elevator receives them alongside the relevant positions, cost centres and reporting structure. Your HRIS retains ownership of the requisition, while hiring progress flows back from Elevator.

What’s included
  • Workday HCM connector: bidirectional sync every four hours, with field mapping, a sync log and an error queue
  • SAP SuccessFactors, Oracle Fusion HCM, Darwinbox and Keka on the same model
  • Accepted hires flow back as pre-hires with a payload preview; Elevator never edits an existing worker

Requisitions and headcount, answered

What is a requisition?
A requisition is the approved request to hire: how many people, for which role, in which team, at what band and cost, by when. In Elevator a requisition carries openings rather than a job ad, moves through draft, approved, open and closed, and cannot be posted anywhere until its approval chain has cleared.
What is a headcount approval chain?
A headcount approval chain is the ordered list of people who must sign off a requisition before it can be filled, such as the hiring manager, a finance partner and the CHRO. In Elevator each level names a role and an approver, records approved, pending, rejected or not started with a timestamp and comments, and carries an SLA in days so a stalled approval is visible rather than silent.
What is the difference between a requisition and an opening?
A requisition is the approved request; an opening is one seat inside it. A requisition for three engineers has three openings, each with its own state of open, filled or cancelled, so a partly filled requisition is reported as exactly that. Job postings are attached to the requisition and its openings, which is why no job ad can exist that nobody approved.
Which fields does a requisition carry?
The fields finance and HR business partners ask for: cost centre, legal entity, grade band, budgeted CTC, location, department, hiring programme and target hire date, plus the seniority level, the reason of new or backfill and an evergreen flag. The five-step wizard asks for headcount, backfill or new, hiring manager, target hire date and evergreen flag, and the rest is completed on the requisition before it enters approval.
Can requisitions come from our HRIS instead?
Yes. When an HRIS connector such as Workday owns requisition creation, requisitions, positions, cost centres and supervisory organisations flow into Elevator, and the requisition is read-only in Elevator except for status write-back. The HRIS remains the system of record for positions, and accepted hires flow back to it as pre-hires.
Where do approvers see what is waiting on them?
In the My approvals inbox, which holds requisitions and offers in one queue with a badge count. A finance approver sees the requisitions waiting on headcount sign-off and the offers waiting on compensation approval in the same place, with the SLA clock on each. Every decision taken there is written to the audit log with the approver’s name and the time.
